Privacy Policy
This policy explains how Alpha Fox Inc., operating as Alpha Fox Group (“Alpha Fox”, “we”, “us”, or “our”), handles personal information through alphafoxgroup.com and in the course of business inquiries.
1. Scope and accountability
This policy applies to personal information Alpha Fox handles through this website, email correspondence, and preliminary discussions about our services. A written client agreement may include additional terms governing information handled during an engagement. If there is a conflict regarding client work, the written client agreement applies to that work.
Alpha Fox is responsible for personal information under its control. The Privacy Officer is accountable for our privacy practices and can be reached at hello@alphafoxgroup.com.
2. Information we collect
Information you provide
When you email us, we receive the information you choose to include. This may include your name, email address, organization, role, project requirements, timing, and correspondence with Alpha Fox.
The contact form on this website does not transmit information to a website database. It creates a draft message in your email application addressed to Alpha Fox. Your email provider handles the message when you send it.
Information collected automatically
Our hosting and security provider, Cloudflare, may process technical information needed to deliver and protect the website, including an IP address, request time, requested page, browser or device information, and security signals. Alpha Fox does not use this site to run behavioural advertising or analytics.
Client and business information
If discussions become an engagement, we may receive business contact details, account information, system documentation, access credentials, or other information needed to perform the agreed work. The scope, permitted use, and handling of client information are governed by the applicable written agreement.
3. How we use personal information
We use personal information only for identified and reasonable business purposes, including to:
- respond to inquiries and communicate with you;
- assess fit, prepare a proposal, and scope possible work;
- enter into, administer, and perform a client agreement;
- operate, secure, maintain, and troubleshoot the website and our business systems;
- maintain business, tax, security, and legal records; and
- comply with legal obligations and establish, exercise, or defend legal rights.
We obtain consent where required and limit collection, use, and disclosure to purposes a reasonable person would consider appropriate in the circumstances. You may withdraw consent for optional uses by contacting us, subject to legal or contractual restrictions and reasonable notice.
4. Service providers and disclosure
Alpha Fox does not sell or rent personal information. We may make information available to service providers that support our operations, including:
- Cloudflare, for website hosting, content delivery, and security;
- Google Workspace, for business email and related communications; and
- professional advisers or contractors where reasonably necessary and subject to appropriate confidentiality obligations.
We may also disclose information where required by law, to respond to lawful process, to protect legal rights or safety, or in connection with a proposed business transaction. Service providers may process information in Canada, the United States, or other jurisdictions, where it may be subject to local laws and lawful access by authorities.
5. Retention and safeguards
We retain personal information only as long as reasonably necessary for the purposes described above, to satisfy legal and accounting requirements, and to resolve disputes. An inquiry that does not become an engagement may be retained as part of ordinary business correspondence and then securely deleted or anonymized when it is no longer required.
We use administrative and technical safeguards appropriate to the sensitivity of the information, including access controls, account security measures, encrypted connections, and reputable service providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If a breach of security safeguards occurs, Alpha Fox will assess it and will keep records, notify affected individuals, and report to regulators where required by applicable law.
6. Access, correction, and complaints
You may ask whether Alpha Fox holds personal information about you, request access to it, or ask us to correct information that is inaccurate or incomplete. We may need to verify your identity before responding. Access may be limited where permitted or required by law, including where disclosure would reveal another person’s information or confidential commercial information.
Send a request or privacy complaint to the Privacy Officer at hello@alphafoxgroup.com. We will acknowledge and respond in accordance with applicable law. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the applicable provincial privacy regulator.
7. Cookies and children
Alpha Fox does not set analytics or advertising cookies. Cloudflare may use strictly necessary security technologies to identify malicious traffic or protect the site. This website is intended for business audiences and is not directed to children. We do not knowingly collect personal information from children through this site.
8. Changes to this policy
We may update this policy when our practices, service providers, or legal obligations change. The effective date above identifies the current version. If a change materially affects how we use information already collected, we will provide notice or obtain consent where required.
